Integrating with your EMR or Appointment Scheduling Software

This lesson describes how to get better reviews online by integrating Review Link (requestreview.online) into your practice management software.

ACTION STEPS

  • 1. Here's how to determine if your practice needs to be selective about who receives Review Link or if you should automatically send each patient Review Link after their appointment.

    Does your practice have a longer treatment "funnel"—where patients receive a final outcome over time? An example would be a Plastic Surgeon or a Fertility Clinic. These types of practices need to be selective about which patients they ask for reviews. Only patients who have positive outcomes should be asked.

    Or is your treatment funnel shorter—where patients are satisfied after each visit? An example would be a Dentist or a Family Practitioner. This type of practice can automatically send a request for review to each patient after their appointment.

  • 2. Long Treatment Funnels
    • a. If you have a longer funnel like a Plastic Surgeon, it is appropriate to ask for a review after the final outcome has been achieved. (FYI - For cosmetic plastic surgeons that is around three months post-op.) A way to segment happy patients in your EMR is to add a custom checkbox to the patient record. The checkbox says, [    ] Happy. Ask for feedback. The doctor or the staff are allowed to check this for any patient who is satisfied after the final outcome.
    • b. At the end of the month, an office administrator runs a report of all patients who have this box checked. The administrator sends each patient an email or a physical letter requesting a review. (You can re-use the Patient Review Letter discussed in lesson 101 of this course.) The administrator ends by unchecking the box [    ] Happy. Ask for feedback for each patient who was just sent a letter.
